Overview
PBP Network ("PlayByPlay", "we", "our", or "us") is a recreational sports platform built for baseball and softball communities. This Privacy Policy explains how we collect, use, store, and share your information when you use our mobile application, website, and related services (collectively, the "Service").
By creating an account or using any part of the PBP Network Service, you agree to the practices described in this policy. If you do not agree, please discontinue use of the Service.
We are committed to complying with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, Quebec's Act Respecting the Protection of Personal Information in the Private Sector (Law 25).
Information We Collect
Account & Profile Information
- Full name and display name
- Email address
- Date of birth
- Profile photo (if provided)
- Gender
- Preferred playing position
- Phone number
- Social login identifiers (e.g., Apple ID, Google account) if you sign in via a social provider
Player & Role Profile Data
- Height, batting stance (left/right/switch), and throwing hand
- Primary and secondary fielding positions
- Competitive rank and years playing
- Coach certifications, coach type, and years coaching (coach accounts)
- Staff type — streaming, scorekeeping, or both (staff accounts)
- RTMP stream keys and stream URLs for YouTube, Twitch, Facebook, and TikTok (streaming staff accounts)
- NSA Canada user ID and rank (if you voluntarily link your NSA account)
Gameplay & Sports Data
- Game scores, innings, and pitch-by-pitch scorekeeping entries
- Batting statistics: average, hits, at-bats, RBIs, home runs, walks, strikeouts
- Season-wide and career statistical summaries
- Team rosters, league memberships, and event participation
- Hit location coordinates (spray chart data) per play
- Batting clip videos — short video highlights attributed to specific players and plays
Live Stream Data
- Stream session metadata (start/end times, game associated)
- Viewer count and engagement metrics for streams you host
- Connection data used to establish and maintain the stream
Usage & Technical Data
- Device type, operating system version, and app version
- App interaction logs (screens visited, features used)
- IP address and general location (country/region) derived from IP
- Expo push notification token (device identifier for push delivery)
- Crash reports and diagnostics
Invited User Data
- Email addresses of individuals invited to a team who do not yet have a PBP Network account
Authentication
Account creation and sign-in are handled by a third-party authentication provider. This provider securely processes your email/password credentials or social login tokens on our behalf. We do not store raw passwords.
This provider may collect and process your email address, authentication tokens, device identifiers, and session metadata solely to maintain secure access to your account.
We receive from this provider only the information necessary to identify you within our platform: your user ID, email, and any profile fields you provide during sign-up.
Real-Time Data Storage
PBP Network uses a cloud-based backend database and real-time sync service. All application data — including your profile, team memberships, game scores, and statistics — is stored and synced in real time across your devices.
This infrastructure operates with encrypted data at rest and in transit. Your data is logically isolated and is not accessible to other applications or customers on the same platform.
Live Streaming & Third-Party Platforms
Live game streaming is powered by a third-party video infrastructure provider. When you initiate or join a live stream, this provider handles video/audio transmission, session tokens, and connection metadata necessary to route and optimize your stream.
PBP Network allows you to broadcast games to third-party platforms including YouTube, Twitch, TikTok, and Facebook via RTMP. To enable this, streaming staff accounts store their RTMP stream URLs and stream keys in their profile. When you stream to these platforms, your content and any data those platforms collect from viewers are subject to the respective platform's privacy policy. We do not control and are not responsible for data collected by those platforms.
We store metadata about your streaming sessions (game association, start/end time, viewer counts) for display in the app and for your personal records. Game recordings are temporarily stored in a private cloud storage service for batting clip extraction and are not publicly accessible.
NSA Canada Account Linking
PBP Network offers an optional feature that allows you to link your National Softball Association (NSA) Canada account to verify your competitive rank. This feature is entirely voluntary.
When you choose to link your NSA account, your first name, last name, and date of birth are sent to the NSA Canada API (nsacanada.ca) to search for a matching player record. If a match is found, your NSA user ID and rank are stored in your PBP Network profile.
PBP Network is not affiliated with or endorsed by the National Softball Association Canada. Your use of the NSA Canada service is subject to NSA Canada's own terms and privacy policy.
How We Use Your Information
- Provide, operate, maintain, and improve the Play By Play Network platform and its features.
- Create and manage your account and Player Profile.
- Display game statistics, leaderboards, team information, and Player Profiles.
- Enable live scoring, livestreaming, and real-time game updates.
- Send transactional communications, including game reminders, score updates, account notifications, and service announcements.
- Send Play By Play Network marketing communications where you have provided consent.
- Diagnose technical issues, monitor platform performance, maintain security, and prevent fraud.
- Send transactional SMS messages, including game reminders, score updates, and account notifications, and marketing SMS messages where you have provided express consent.
- Comply with applicable legal and regulatory obligations.
- Administer the Play By Play Network Sponsor Program by sharing certain contact information and selected Player Profile Information with official, approved Play By Play Network sponsors for sponsorship administration, player opportunities, promotional offers, contests, marketing communications, tournaments, community initiatives, and sponsored programs (Players and Coaches only).
Play By Play Network does not sell your personal information to third parties or use your information for targeted advertising. Player and Coach accounts participate in the Play By Play Network Sponsor Program. As described in this Privacy Policy, certain contact information and selected Player Profile Information may be shared with official, approved Play By Play Network sponsors. Fan accounts do not participate in the Sponsor Program and are not subject to sponsor information sharing.
Play By Play Network Sponsor Program
Play By Play Network Player and Coach accounts participate in a sponsor-supported program. Official sponsors help fund tournaments, prizes, livestream production, player recognition programs, community initiatives, and the continued development and operation of the Play By Play Network platform.
By creating a Player or Coach account, you expressly acknowledge and consent that your first name, last name, email address, birth year, and selected Player Profile Information may be shared with official, approved Play By Play Network sponsors participating in the Play By Play Network Sponsor Program. The full information that may be shared is:
- First Name
- Last Name
- Email Address
- Birth Year
- Team
- League
- Participation History
- Selected Player Profile Information that you choose to include in your profile.
Sponsors may use this information to communicate directly with you regarding their products, services, promotional offers, sponsorship opportunities, contests, newsletters, event announcements, and other marketing communications. Play By Play Network does not share your phone number, full date of birth, payment information, passwords, or device identifiers with sponsors. If you do not wish to participate in the Play By Play Network Sponsor Program, you may register as a Fan instead. Fan accounts are not subject to sponsor information sharing.
Communications From Play By Play Network
By registering as a Player or Coach, you agree that Play By Play Network may contact you directly at any time using the contact information associated with your account — including for account and program administration, sponsorship opportunities, player recognition, events, tournaments, contests, and program updates. Transactional and service messages relating to your use of the Service may be sent at any time and are not subject to marketing opt-out.
Marketing communications remain subject to your consent choices: you may opt out of marketing emails via the unsubscribe link, opt out of marketing SMS by replying STOP, or adjust your preferences in app settings at any time, as described in the Marketing Emails & CASL and Your Rights & Choices sections. Opting out of marketing does not affect essential account, program, or sponsorship-administration messages.
Cross-Border Data Transfers
PBP Network is operated from Canada, but we use service providers based in the United States and other jurisdictions. When your data is transferred to a foreign processor, we require that provider to maintain privacy protections comparable to those required under PIPEDA.
Data Retention
We retain different categories of data for different periods based on their purpose and legal requirements:
Profile data (name, email, photo, phone, date of birth, gender): anonymized and cleared within 30 days of account deletion.
Game statistics and play-by-play records: retained permanently for league data integrity. After account deletion, these records remain associated with an anonymized ID rather than your name.
Batting clip videos: retained until you request deletion or your account is deleted. Deletion requests may be submitted to Contact@playbyplay.app.
Push notification token: cleared upon account deletion.
Marketing email contact: removed from our marketing audience upon account deletion or when you withdraw marketing consent.
Invited email addresses for pending team invitations: retained until the invitation is accepted or expires.
Logs and diagnostic data: retained for up to 90 days and then deleted automatically.

As a resident of Canada, you have the following rights regarding your personal data under PIPEDA:
Access
Request a copy of the personal data we hold about you, including a list of third parties to whom it has been disclosed.
Correction
Update or correct inaccurate information in your profile directly within the app settings or by contacting us.
Deletion
Request deletion of your account and personal data. See Data Retention above for what is and is not removed.
Data Portability
Request an export of your gameplay statistics and profile data in a structured format.
Withdraw Consent
Opt out of marketing emails at any time via the unsubscribe link in any marketing email, or opt out of marketing SMS by replying STOP to any marketing text, or through app settings. Players and Coaches may withdraw consent to sponsor data sharing at any time by contacting us at Contact@playbyplay.app — withdrawal does not affect your ability to use the Service.
Complain to the OPC
If you believe we have not handled your personal data appropriately, you may file a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca.
Marketing Emails & CASL
Canada's Anti-Spam Legislation (CASL) requires that we obtain your express consent before sending commercial electronic messages.
We send two types of emails: (1) Transactional emails — order confirmations, game reminders, score updates, and account notifications — which do not require CASL opt-in as they relate directly to your use of the Service; and (2) Marketing emails — promotional content, product announcements, and news — which are only sent if you have explicitly opted in during account setup or in app settings.
Every marketing email we send includes a working unsubscribe link. You can withdraw your marketing consent at any time, and we will process your request within 10 business days.
SMS text messages are also Commercial Electronic Messages under CASL. We send two types of texts: (1) Transactional SMS — game reminders, score updates, and account alerts — which do not require CASL opt-in; and (2) Marketing SMS — promotional content and announcements — which are sent only with your express consent. You may withdraw SMS consent at any time by replying STOP to any marketing text or through app settings.
Privacy Officer & Breach Notification
PBP Network has designated a Privacy Officer responsible for overseeing our compliance with PIPEDA and responding to privacy-related inquiries. You may contact the Privacy Officer at Contact@playbyplay.app.
In the event of a data breach that poses a real risk of significant harm to individuals, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as required by PIPEDA. Users in Quebec will be notified in accordance with Quebec Law 25, including reporting to the Commission d'accès à l'information within 72 hours of becoming aware of a qualifying incident.
Age Restriction & Minors
PBP Network is intended solely for individuals who are 18 years of age or older. The Service is not directed to, and we do not knowingly collect personal information from, anyone under the age of 18.
If we become aware that we have collected personal information from an individual under 18, we will take steps to delete that information promptly. If you believe someone under 18 has provided us with personal information, please contact us immediately at Contact@playbyplay.app.
Security
We implement industry-standard security measures including encryption in transit (TLS), encrypted data at rest, access controls, and secure third-party infrastructure for authentication and data storage.
No method of transmission over the internet is 100% secure. We cannot guarantee absolute security, and you use the app at your own risk. Please protect your account credentials and report any suspected unauthorized access to us immediately.
Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will notify you via the app or by email. The updated policy will be posted with a revised "Last Updated" date.
Continued use of PBP Network after an update constitutes your acceptance of the revised policy.
